What data do we collect, what data categories do we use and where do they come from?

Through our applicant management system, we collect necessary data that you provide to us for the purposes of examining your application documents. The following information is mandatory (marked with an asterisk):

In addition, we carry out time-shifted video interviews for selected positions on a case-by-case basis. The creation of the video files is also optional. You will receive detailed instructions on the storage and deletion of the video files as soon as you are invited to a time-shifted video interview.

You can enter the data into our application form manually or agree to have the data imported from your Xing or LinkedIn profile or a CV file. We will only have access to the data after you have double-checked and approved your profile and submitted the application form.

For what purposes and on what legal grounds is your data used?

msg life ag collects and stores the application data you provide exclusively for the application process. The data is processed in order to carry out the application process and judge your suitability for the vacancy in question. As a result, it is necessary to process your application data in order to decide whether or not to establish a training or employment relationship. Article 6 (1b) of the European General Data Protection Regulation (GDPR) in conjunction with Section 26 (1) of the German Federal Data Protection Act (BDSG) provides the main legal grounds in this context. Where necessary, we will also process your data on the basis of Article 6 (1f) GDPR for the purposes of our legitimate interests or those of a third party (e.g. authorities).

The processing of certain categories of personal data is contingent on your consent in accordance with Article 9 (2a) GDPR in conjunction with Section 26 (2) BDSG, unless it is expressly permitted by statutory provisions such as Article 9 (2b) GDPR in conjunction with Section 26 (3) BDSG.

How is your application data processed for other purposes?

Anonymised data from which no conclusions can be drawn as to your identity is frequently used to gauge and internally evaluate the application processes of the msg life Group.

Who receives your data?

Within our company, only the people and offices (e.g. Human Resources, specialist departments and the Works Council) that require your personal data in order to make a decision regarding your recruitment and fulfil our (pre-)contractual and statutory duties will gain access to them.

If you have applied for a position abroad, your application will also be passed on to the local department for the purposes of the application process. Depending on the location of this department, this transfer might represent a transfer of data to a country without an appropriate level of data protection in the eyes of the European Commission. Personal data is only disclosed to third parties if you expressly consent to it or if permitted under data protection legislation.

On our behalf, your personal data will be transmitted over an encrypted connection to our technical service provider d.vinci HR-Systems GmbH, Nagelsweg 37–39, 20097 Hamburg, Germany, and stored in a database operated by d.vinci HR-Systems GmbH. We have entered into a data processing contract in the sense of Article 28 GDPR with d.vinci HR-Systems GmbH.

What measures do we have in place to protect your data?

Whenever we collect personal data, we or our processors store the data on exceptionally well-protected servers in Germany. The data can only be accessed by a few specially authorised persons tasked with technical management, commercial management or editing. In order to prevent the data from being lost or misused, we have taken comprehensive technical and operational precautions which are regularly inspected and updated. However, please be aware that, due to the structure of the Internet, the rules of data protection and the security measures described above might be ignored by persons or institutions for whose actions we are not responsible. In particular, unencrypted data that is divulged (even by email) can be accessed by third parties. Data provided through our portal is protected against misuse by an encrypted connection with the server.

What are your options with regard to access to information about and rectification and erasure of the data stored by the msg life Group? What are your options with regard to objecting to the processing of your data?

You can contact the address above to demand access to information about stored personal data concerning you. Additionally, under certain circumstances, you can demand the rectification or erasure of your data. Furthermore, you might be entitled to restrict the processing of your data and to receive data you have provided in a structured, commonly used and machine-readable format. You can file a complaint with the aforementioned data protection officer or with the relevant data protection authority (Commissioner for Data Protection and Freedom of Information of Baden-Württemberg, Lautenschlagerstrasse 20, 70173 Stuttgart, Germany).

How long will your data be stored for?

Upon completion of the application process, we will only store the application data beyond the conclusion of the application process for as long as legally permissible, especially in accordance with the provisions of the German Federal Data Protection Act (BDSG) and the European General Data Protection Regulation (GDPR). Therefore, we will delete your personal data six months after the end of the application process, unless you have entered into an employment contract with us. This does not apply if the erasure of the data is prevented by statutory provisions, if it is necessary to continue storing the data for the purposes of having evidence or if you have consented to a longer storage period.

Are you obliged to provide your data?

As part of your application, you must provide the personal data necessary for the completion of the application process and an evaluation of your suitability. Without such data, we will be unable to complete the application process or reach a decision regarding the establishment of an employment relationship.

To what extent does automated individual decision-making or profiling take place?

As part of applicant management, we do not use any fully automated processing – including profiling – to reach a decision regarding the establishment of an employment relationship.
